Social Media Management for Agencies: Client Workspaces and Approvals
Updated · Multi Post Social guide
Social media management for agencies is a different job from managing one brand. You juggle ten clients with ten voices, ten approval habits and ten reporting deadlines, and one mistake in the wrong workspace costs a contract. Multi Post Social separates every client into its own workspace with its own channels, inbox, team and reports, adds approval links clients can use without a login, and prices by channel so a growing client list does not mean a growing seat bill. This page shows the structure and the weekly rhythm.
Who this is for
Social media agencies, marketing studios, PR firms and freelancers who manage accounts for more than two clients. You have account managers, writers, designers and sometimes a community manager. Clients want to see posts before they go out and a report at the end of the month, and they want both without learning a new tool.
The problems agencies have
- Posting to the wrong client account because every workspace looks the same.
- Approvals living in email threads and spreadsheets, with no record of who approved what.
- Reports that take a day per client to assemble from screenshots.
- Seat-based pricing that punishes adding a junior writer or a client viewer.
- Client channels disconnecting on a Friday night with nobody notified.

Recommended setup
| Setting | Recommendation | Why |
|---|---|---|
| Workspaces | One per client, named after the client, with its own brand color | Channels, inbox, tags, reports and approvals never mix |
| Channels | All of the client’s networks inside that workspace; channel groups per campaign | One post can target a whole client set in one tap |
| Roles | Account manager as Admin; writers as Contributor; client contacts as Client | Contributors need approval; clients approve from a link |
| Approvals | Required for Contributors; two-step for regulated clients | A record of who approved, when, and what changed |
| Posting schedule | Per client, in the client’s time zone | No mental math across regions |
| Reports | Monthly white-label PDF scheduled to the client contact | Report day becomes a calendar entry, not a project |
| Plan | Agency: 10 channels included, unlimited users and clients | Grows per channel, not per seat |
The client workflow, week by week
- Monday: plan. The account manager reviews last week in analytics per workspace and drops next week's themes on the Create board with tags.
- Tuesday: write. Writers draft in the composer, using the AI assistant with each client's tone notes, and submit. Posts land in Needs approval.
- Wednesday: approve. The account manager reviews, leaves notes, approves or requests changes. Clients who want final sign-off get an approval link by email and approve from their phone.
- All week: engage. The community manager works the inbox per workspace, with assignments so two people never answer the same comment.
- Month end: report. White-label reports go out automatically; the manager adds three sentences of commentary.
The team collaboration guide has the detail on roles, approval states and client links.
Onboarding a new client follows the same shape: create the workspace, invite the client contact as Client, connect their channels together on a call, set the posting schedule in their time zone, and queue the first two weeks before the kickoff is over. A typical account manager handles the whole setup in under an hour, and the client sees their first approval link the same day.

Which plan fits an agency
A typical agency with four to eight clients fits the Agency plan: ten channels included, more at a per-channel price, unlimited users and client contacts, client workspaces, approval links, white-label reports and priority support. A freelancer with two clients can start on Team, which already has roles and approvals, and move up when the channel count grows. Enterprise adds SSO, audit logs and custom retention for agencies with compliance needs. Compare on the pricing page.
Safe use with client accounts
Connect client channels through the client's own login session or an admin role they grant, never with a shared password. Require two-factor authentication for every team member, remove access the day a contract ends, and keep approval on for every contributor. Each network holds the agency and the client to the same rules on disclosure and spam; the approval record is your protection. See the security guide.
Frequently Asked Questions
Can a client approve without an account?
Yes. Client contacts receive an approval link by email. The page shows the post as it will look on each network, with Approve and Request changes buttons and a comment box. The decision is recorded with a timestamp.
How do I avoid posting to the wrong client?
Each workspace has its own color, name and channel list, and the composer only shows the channels of the workspace you are in. Switching workspaces is explicit, from the top of the sidebar.
Can I put my agency logo on reports?
Team plans add your logo; the Agency plan removes Multi Post Social branding entirely for white-label PDFs and scheduled emails.
What happens when a client leaves?
Export the workspace data for the client, then transfer ownership of the workspace to them or archive it. Their channels disconnect and stop counting toward your channel total.
Do you offer a partner program?
Yes. The partner program page describes agency tiers and how to apply.
